 Job Summary

INTURN is looking for an Executive Assistant and Office Manager to work directly with our CEO and COO while also supporting all staff. They will prioritize and own the executive team’s calendar, initiate communication on their behalf, book and coordinate travel, assist in managing and handling expense reimbursements. Office Manager tasks include handling office needs and creating a positive employee experience. The ideal candidate is someone who can anticipate what needs to get done, is highly detail oriented, solutions-oriented, and flexible.

 Responsibilities

  • Organize and maintain complex calendars
  • Schedule meetings, events, and appointments
  • Perform office and administrative duties to assist executive management and staff
  • Prioritize and coordinate executive communications
  • Reconcile business expenses and expense reports
  • Manage and book travel
  • Prioritize employee experience by attending to employee issues and measuring employee happiness
  • Plan and execute company events (parties, catering, etc.)
  • Manage vendor relations with building management, cleaners and suppliers
  • Own the visa process for all current and future employees
  • Partner with finance on expenses, credit cards, international payroll and invoices 
  • Take on special projects as requested
  • Support with all IT needs for staff 
  • Support staff during on-boarding and off-boarding. 

Key Qualifications

  • Bachelor's Degree
  • 2-3 years of relevant experience
  • Proficient in Excel and PowerPoint
  • Excellent written and verbal communication skills
  • Ability to self-motivate and prioritize
  • Experience managing confidential and sensitive information
